Terms of Service

These Terms of Service ("Terms") govern your use of the MyFlowio platform operated at https://myflowio.com and associated mobile applications (the "Service"). By accessing or using the Service, you agree to these Terms. If you do not agree, do not use the Service.

1. Description of Service

MyFlowio is a business management platform designed for service-based businesses. The Service includes features for customer management, job tracking, quoting, invoicing, scheduling, team collaboration, payment processing, and business analytics.

2. Eligibility

You must be at least 16 years of age to use the Service. By creating an account, you represent that you meet this requirement and have the authority to agree to these Terms on behalf of yourself or the business entity you represent.

3. User Accounts

  • You are responsible for maintaining the confidentiality of your account credentials.
  • You are responsible for all activity that occurs under your account.
  • You must provide accurate and complete information when creating an account.
  • You must notify us immediately if you suspect unauthorized access to your account by contacting support@myflowio.com.
  • We may suspend or terminate accounts that violate these Terms.

4. Subscriptions & Payments

4.1 Free Trial

  • New accounts receive a 14-day free trial with full access to the features of the selected plan.
  • No credit card is required to start a trial.
  • If you do not subscribe before the trial ends, your account will be downgraded and access to premium features will be restricted.
  • Your data is retained for 30 days after trial expiration, after which it may be permanently deleted.

4.2 Plans & Pricing

MyFlowio offers three subscription plans:

Prices are in USD and are subject to change with at least 30 days' prior notice. Annual plans include a discount equivalent to 2 months free compared to monthly billing.

4.3 Plan Limits

  • Starter: Up to 3 team members, 50 customers, 30 quotes/month, 20 active jobs, 30 invoices/month, 5 GB file storage, customer portal, scheduling.
  • Pro: Up to 10 team members, unlimited customers, unlimited quotes/invoices/jobs, 25 GB file storage, advanced reports, custom branding, customer portal, scheduling.
  • Enterprise: Unlimited team members and customers, unlimited quotes/invoices/jobs, 100 GB file storage, all features including API access, priority support, and a dedicated account manager.

4.4 Billing Cycles

  • Subscriptions are available on monthly or annual billing cycles.
  • Subscriptions renew automatically at the end of each billing cycle unless you cancel before the renewal date.
  • All payments are processed securely through Stripe. MyFlowio does not store your credit card details.

4.5 Upgrading & Downgrading

  • You may upgrade your plan at any time. Upgrades take effect immediately, and you will be charged the prorated difference for the remainder of the current billing period.
  • You may downgrade your plan at any time. Downgrades take effect at the end of the current billing period. If your usage exceeds the limits of the new plan, you may need to reduce usage before the downgrade takes effect.

4.6 Cancellation

  • You may cancel your subscription at any time from the Settings page within the Service.
  • Cancellation takes effect at the end of the current billing period. You retain access to paid features until the period ends.
  • After cancellation, your data is retained for 30 days. After this period, data may be permanently deleted.

4.7 Refunds

  • Refunds are provided at our discretion and must be requested within 14 days of the charge.
  • To request a refund, contact us at support@myflowio.com.

5. Your Data

  • You retain ownership of all data you upload or create within the Service (customer records, quotes, invoices, documents, etc.).
  • You grant MyFlowio a limited license to store, process, and display your data solely to provide the Service.
  • We do not claim ownership of your business data.
  • You are responsible for maintaining your own backups of critical business data.
  • Our handling of your personal data is described in our Privacy Policy.

6. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose or in violation of any applicable laws.
  • Attempt to gain unauthorized access to the Service, other accounts, or computer systems.
  • Upload malicious code, viruses, or any harmful content.
  • Interfere with or disrupt the Service or servers/networks connected to it.
  • Reverse-engineer, decompile, or disassemble any part of the Service.
  • Scrape, crawl, or use automated tools to extract data from the Service without permission.
  • Use the Service to send spam, phishing messages, or unsolicited communications.
  • Impersonate another person or entity.

7. Third-Party Integrations

The Service integrates with third-party services including Google (Sign-In, Calendar), Stripe (payments), and AI providers. Your use of these integrations is subject to the respective third-party terms of service. MyFlowio is not responsible for the availability, accuracy, or content of third-party services.

8. AI-Powered Features

  • The Service includes optional AI-powered features (e.g., description rewriting, document analysis).
  • AI-generated content is provided as a suggestion and may not always be accurate. You are responsible for reviewing and approving any AI-generated content before use.
  • Text submitted for AI processing may be sent to third-party AI providers (Groq, OpenAI, Google, Anthropic) for processing. No personal account data is included beyond the text you explicitly submit.

9. Intellectual Property

The Service, its design, code, features, graphics, and branding are owned by MyFlowio and are protected by intellectual property laws. You may not copy, modify, distribute, or create derivative works based on the Service without our written consent.

10. Service Availability

We strive to maintain the Service with high availability, but we do not guarantee uninterrupted or error-free operation. We may perform scheduled maintenance, updates, or upgrades that temporarily affect availability. We are not liable for any downtime, data loss, or service disruption.

11. Limitation of Liability

To the maximum extent permitted by law, MyFlowio shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or business opportunities, arising from your use of or inability to use the Service.

Our total liability for any claims related to the Service shall not exceed the amount you have paid to us in the 12 months preceding the claim.

12. Indemnification

You agree to indemnify and hold MyFlowio harmless from any claims, damages, losses, liabilities, and expenses (including legal fees) arising from your use of the Service, your violation of these Terms, or your violation of any rights of third parties.

13. Termination

  • You may terminate your account at any time by contacting support@myflowio.com.
  • We may suspend or terminate your account if you violate these Terms or engage in activity that harms the Service or other users.
  • Upon termination, your right to use the Service ceases immediately. We may retain your data for a limited period as described in our Privacy Policy.

14. Dispute Resolution

Any disputes arising from these Terms or the Service shall first be attempted to be resolved through informal negotiation by contacting us. If a dispute cannot be resolved informally within 30 days, it shall be resolved through binding arbitration in accordance with applicable arbitration rules, except where prohibited by law.

15. Changes to Terms

We may update these Terms from time to time. When we make material changes, we will update the "Last updated" date at the top and notify you through the Service or by email. Your continued use of the Service after changes take effect constitutes acceptance of the revised Terms.

16. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the United States, without regard to its conflict of law provisions.
